Hotel & Venue Management can include:

Hotel/Venue Liaison & Coordination

• Review and edit your BEO

• Monitor contract fulfillment

• Lead logistical needs and coordination

• Plan room space and use

• Lead catering menu selection & planning, consider participant dietary restrictions and needs 

• Review the final bill


Hotel Pre-Event Meetings & Prep (1 day prior to event)

• Attend meetings with hotel staff leads

• Conduct a full review of BEOs

• Lead AV testing

• Walkthrough site

• Meet all hotel leads & answer their questions

Hotel Room Block Management

• Manage guest reservations

Logistical Planning

• Oversee room setups and layouts, track room use and scheduling, oversee AV selections and planning, coordinate rentals

• Select the catering menu as well as consider participant dietary restrictions and needs. 

Site Visit & Planning

• Visit venue with client team and AV to walkthrough logistical needs

• Prep and plan with venue in advance of visit including: share an agenda, request diagrams, etc. to maximize site visit

Venue AV Team Support & Consulting

• Collaborate with AV team to plan playing IMAG, pre-recorded content, audience engagement, and/or live streaming

• Manage AV orders, estimates, and final bill
