This role requires full-time engagement, typically 40+ hours per week, depending on the project cycle
Goal start date: June 15, 2026
Pay Rate: $68,000-$72,000 per year

Summary of Role
Erin Leonard Events (ELE) is seeking an Event Project Manager & Operations Lead to support both client event execution and internal operational organization across the company. This role is ideal for a highly organized, proactive, and collaborative event professional who thrives in fast-paced environments and enjoys bringing clarity, structure, accountability, and follow-through to complex projects and teams.
This role serves as a critical operational bridge across projects, teams, and internal workflows. The Event Project Manager & Operations Lead will support the planning and execution of conferences, retreats, galas, meetings, trade shows, and special events while also strengthening internal systems, project coordination, staffing visibility, and organizational consistency.
This role reports to the Director of Events & Production and works closely with the CEO, coordinators, contractors, and client teams to help ensure projects and operations run smoothly and efficiently.
The ideal candidate is calm under pressure, detail-oriented, solutions-focused, highly accountable, and eager to grow within a dynamic and evolving event company. This position is primarily remote, with in-person on-site work and travel required based on event schedules.
Key Responsibilities
Event Project Management & On-Site Leadership
Support planning and execution of client events from kickoff through post-event wrap-up
Develop and maintain project timelines, milestones, deadlines, deliverables, and task tracking systems
Lead and support internal and client meetings, including preparing agendas, documenting notes, assigning action items, and tracking follow-up
Drive project momentum and follow-through by proactively tracking outstanding tasks, deadlines, approvals, and next steps
Help maintain accountability across project teams to ensure deliverables are completed accurately and on time
Coordinate project communications, registration reporting, participant communications, vendor coordination, scheduling, and logistics
Support development and maintenance of run of show documents, production schedules, and event materials
Monitor project progress and proactively flag risks, gaps, capacity concerns, or potential timeline issues
Lead on-site execution for select events, including managing timelines, staffing, vendors, venue coordination, troubleshooting, and overall guest experience
Supervise on-site staff, temporary event teams, and contractors as assigned
Ensure on-site operations are professional, organized, solutions-oriented, and aligned with client expectations
Recommend process improvements or additional support needs to leadership when appropriate
Operations & Internal Systems Support
Help maintain and improve internal workflows, project management systems, templates, and operational documentation
Support organization-wide task tracking, project visibility, and workflow consistency across teams
Help maintain organizational systems, shared resources, databases, and operational tools
Support staffing coordination, contractor tracking, and internal reporting processes
Assist with onboarding coordination for staff, contractors, and temporary event support
Identify opportunities to improve efficiency, communication, organization, and operational consistency across projects and teams
Collaborate with leadership to support scalable operational growth and stronger internal infrastructure
Team Leadership & Workflow Coordination
Directly manage and support event coordinators and temporary event staff as assigned
Delegate tasks clearly and help ensure team members understand priorities, timelines, and expectations
Provide day-to-day guidance, support, and accountability across assigned projects and operational workflows
Lead recurring internal team huddles and operational check-ins, including preparing agendas, documenting action items, and tracking follow-up
Maintain visibility into team workloads, priorities, deadlines, and project capacities across active events and initiatives
Coordinate weekly task planning and help manage out-of-office scheduling and project coverage planning
Help identify workflow bottlenecks, ownership gaps, or bandwidth concerns, and proactively raise recommendations or solutions to leadership
Reinforce accountability and follow-through across project teams while maintaining a collaborative, positive, and professional team culture
Other Responsibilities
Perform other duties as assigned by the Director of Events or the CEO
What We’re Looking For
Required Experience & Skills
3-5+ years of experience in event planning, project management, production, operations, or related fields
Previous experience managing, mentoring, or overseeing coordinators, contractors, temporary staff, or project teams required
Experience leading on-site event execution and managing live event logistics
Strong organizational skills and exceptional attention to detail
Excellent written and verbal communication skills
Ability to manage multiple priorities and deadlines simultaneously in fast-paced environments
Ability to assess competing priorities and exercise strong judgment under pressure
Experience leading projects and coordinating cross-functional teams
Experience with project management and collaboration tools such as Google Workspace, Microsoft Office, Zoom, or event-specific tools such as CVENT, or similar platforms
Strong sense of ownership, accountability, professionalism, and follow-through
Ability to work independently while collaborating effectively within a team environment
Experience supporting conferences, meetings, retreats, galas, trade shows, or large-scale events preferred
Willingness to travel and support on-site event execution as needed
