Event Coordinator (Part-Time)
We’re excited to add another Part-Time Coordinator to our team, with opportunities for travel and on-site event support in the months ahead.

Reports to: Director of Events & Production
Location: Fully Remote (U.S. Based), with occasional travel required for events
Status: Part-Time, Non-Exempt W-2 Employee
Goal start date: Monday, March 16, 2026 (or sooner)
Pay Rate: $22–$27/hour; Overtime at 1.5x regular hourly rate
Hours:
20 hours per week, typically between 10:00 AM-6:00 PM ET, Monday-Friday
Weekly hours can be increased or decreased with mutual advance agreement
Consistent, mutually agreed daily window (e.g., 10-2 or 12-4)
Occasional evening or weekend work; travel to events with advance notice
Overtime must be approved in advance and is paid in accordance with federal and state law

Position Summary
This role is ideal for someone eager to gain hands-on experience coordinating high-profile conferences, galas, summits, retreats, and virtual gatherings. The Event Coordinator will thrive if they love logistics, timelines, and checklists, and take real satisfaction in ensuring every detail is executed flawlessly. In this role, you’ll work closely with the Director of Events & Production and CEO to deliver seamless client and guest experiences from initial planning through post-event wrap-up. This role supports project leads and does not hold primary ownership of client strategy, budgets, timelines, or staffing decisions.
Key Responsibilities
Event Coordination (primary focus)
Support registration, reporting, communications, and run-of-show updates.
Coordinate with vendors, track deliverables, and support contract and invoice management.
Prepare speakers and participants through outreach, prep materials, and scheduling.
Help oversee event flow on-site and online, troubleshooting issues to ensure seamless execution.
Contribute to post-event wrap-up, including debrief materials, surveys, and reporting.
Project & Meeting Support
Draft agendas for client and internal meetings, share in advance, and support project leads in keeping meetings on track.
Launch and document virtual meetings, capturing assignments and deadlines in real time.
Schedule meetings, manage invites, and distribute preparation materials.
Maintain and organize project timelines, agendas, and files in Google Drive and Microsoft Office tools.
Administrative & Team Support (secondary/occasional)
Contribute to the development of templates, SOPs, and internal processes that increase efficiency.
Provide internal operations and marketing support, including updating the website (Squarespace), newsletters (HubSpot), and occasional social media posts (LinkedIn & Instagram).
Assist with general “all hands on deck” needs during event weeks.
What We’re Looking For
Required:
At least 1 year of experience in event coordination, planning, production, or related roles (internships or volunteer experience welcome).
Proven ability to manage priorities, meet deadlines, and follow through.
Excellent written and verbal communication skills — professional, proactive, and clear.
Strong organizational and time management skills with a focus on accuracy and attention to detail.
Comfortable with Google Workspace, Zoom, and project management tools; quick to learn new platforms.
Ability to travel for events and work occasional evenings and weekends with advance notice.
Proven ability to work independently in a remote environment while taking responsibility for assigned tasks and outcomes.
