Salary: $55,000 - $70,000

Summary of Position:

ELE is seeking an Event Manager who is experienced in events, an excellent organizer, and able to facilitate team flow as well as complete a variety of tasks and deliverables. We are looking for a strong collaborator and communicator who can plug in seamlessly to our team and client projects while keeping up with the ever-changing demands of events. Applicants must be self-starters, hard-working, and thrive in a fast-paced event environment. This position is currently operating remotely with in-person onsite work required as per the event schedule.

Qualifications:

  • At least 5 years of experience in a project/event management position

  • CMP, PMP, CSEP, CPCE, etc. certifications held in high regard

  • Must have event planning experience, ideally both virtual and in-person events

  • Must have experience with hotel/venue management (both virtual and on-site)

  • Client-facing role, must be willing to represent and speak on behalf of ELE to clients & potential clients

  • Flexible schedule along with weekend work during peak times is a must 

  • Able to work under pressure, be decisive, detail-oriented, and meet deadlines

  • Collaborative electronic note taking and screen sharing is a must

  • The ability to work well with others as part of a team

  • Ability to take direction in fast-paced simultaneous work environments

  • Experience working with and planning events

  • Experience in Zoom is a must

  • Start-up or consulting experience helpful as this is a fully remote start-up 

  • Up to 25% travel to event locations

Responsibilities

Key Results Area #1: Lead Client & Internal Teams, Meetings & Communications

  • Develop agendas with key priorities, deadlines & deliverables, shared at least 24 hours in advance of any meeting time with all participants

  • Launch virtual meetings / attend and document team meetings while screen sharing, capturing assignments, deadlines, and adding them to Monday.com in real-time collaboratively within virtual document

  • Lead client & internal project meetings with ELE and client teams

  • Follow-up via Monday.com/email with assignments, deadlines, and notes within 24 hours of all meetings

  • Lead on coordination of ELE team members, task assignments, and communication around deadlines to keep project on-track and on-time

  • Use Monday.com communications, reporting, updating, task tracking & assignments for internal team 

  • Reporting: Draft weekly roll-up report (as applicable), reporting on project accomplishments, upcoming milestones/deadlines, budget spent/remaining, and upcoming meetings, while flagging for leadership budget concerns

  • Schedule client & internal meetings as needed, coordinating schedules, sharing meeting agenda & Zoom link within calendar invite (must be to-date at least 24 hours prior to meeting)


Key Results Area #2: Resource Allocation & Budget/Scope Management

  • Develop & manage timeline, deadlines, milestones, and task coordination to keep project on-track, on-time, and within budget

  • Monitor progress and make adjustments as needed to ensure project milestones/deadlines are met

  • Resource allocation - plan and routinely update  internal team’s time in Forecast, our time planning software

  • Compare & report on time billed by internal team in Harvest, our time tracking software; compare Forecast to Harvest actuals to ensure project is planned within budget

  • Recommend additional resources/vendors/expertise if needed. Read the room & understand the client’s ultimate goals. Sense what the project needs and identify any gaps in project team in order to hit milestones, deliverables, or client satisfaction on the project; raise these needs to Director 

  • Recommendations for additional scope - sense if the project would be more successful, or will require, additional scope/budget from client in order to achieve goals or client satisfaction; raise these recommendations to Director


Key Results Area #3: Lead Tasks 

  • Take the lead on assignments and task completion for the project(s) you manage. It will be your responsibility to have all tasks completed in a timely manner. Depending on the project, this could be: registration reporting, participant email communications, report on registration numbers, marketing planning, updating the run of show, scheduling recordings, vendor management, facilitating video editing, monitoring and responding to questions from participants, or other needs pertaining to the project and scope of work. 

Other Responsibilities 

  • Collaborate with ELE team/clients and perform duties as assigned by the Director of Events or CEO

  • Assist on the production team with day-of-event responsibilities

  • Other duties as assigned
