ELE Top Tips: Presenter Support for Virtual, Hybrid or In-Person Events
Whether it's for a large conference or just a small meeting, making sure that everything goes off without a hitch can be nerve-wracking. Preparation is key when it comes to getting your speakers ready for any event, be it virtual, hybrid, or in-person. To help make the process a little less daunting, we've put together our top tips for preparing your keynote speakers and presenters so that they can engage with your audience in the best way possible. The more prepared your speakers are, the better their presentations will be, and the happier your audience will be (which makes them more likely to come back!)
Goals and objectives: Clearly communicate the goals and objectives of your event to your presenter. Make sure they understand the purpose of the event and their role in it.
Target audience: Educate your presenter on your target audience. This will help them tailor their presentation to the specific needs and interests of your attendees.
Critical deadlines: Set out a clear understanding of your presenter's needs, requirements and any critical deadlines. Work with them to ensure that all materials are submitted on time and that they are aware of any last-minute changes.
Presentation requirements: Providing your keynote speakers and presenters with slide templates ensures they stay on-brand. You’ll also have to make sure all technology works properly and is tested ahead of time. It is also critical that you share with your speakers how to operate any audio or visual equipment that they will use for their presentation. In addition, coach them on the pronunciation of difficult words or names. This will ensure that they're understood by the audience and don't stumble over their words! Finally, provide them with presenter support materials. This could include a copy of the presentation, cue cards, or even a list of key points.
Logistics support: Share instructions on how to register and promote their session, so they can make the most of their time at your event. When it comes to travel and accommodation, ensure they're considered in booking their flight and hotel. Giving them discounted or free registration is a great way to show your appreciation!
Speaker Ready Room: This is a dedicated space where they can meet with the presenter support team, connect with any co-presenters, test their AV, print handouts, and feast upon snacks! This allows them to relax and feel confident knowing that everything is taken care of, which in turn will lead to a more successful presentation.
Event feedback: It helps to identify areas where the presenter can improve and what participants liked about the presentation. It can come from surveys, evaluations, or simply conversations with participants. It is important to share this feedback with the presenter so that they can make changes for future events.
Dedicated support team: Arranging for a dedicated presenter support team or individual point person is one of the best ways to set your speakers up for success. This team or person can be responsible for answering questions, providing resources, and arranging for practice sessions (or at least a run-through) before the big day. Having a dedicated presenter support team will help to ensure that your speakers are well-prepared and confident, leading to a successful event overall.
