Crafting Successful International Virtual Events in 2024

Virtual events can still be a great option, particularly for international audiences that don’t have the budgets to support international travel. With a few careful considerations, you can design a highly engaging and connective experience for audiences that otherwise would not be able to connect.

1. Know Your Community:

Understand the dynamics of your community. Is international travel economically unfeasible or logistically challenging for your participants? If so, opting for a virtual approach becomes not just a choice but a necessity. Identify and break down barriers for participation - from tech, language, or budgets. A low-cost ticket to a multi-day event can be a meaningful experience with content, networking, and even expo halls.

2. Consider Time Zones:

Acknowledge the geographical spread of your participants and their respective time zones. Optimize your event schedule to ensure accessibility for the majority, and consider offering varied timings for different segments of your program - for example, morning and afternoon networking to accommodate opposites sides of the globe. Same with exhibit hours - set designated hours that vary, such as early one day, late another, to reach as many people during their “day” as possible. This thoughtful approach accommodates diverse schedules and encourages broader participation.

3. Content and Networking:

Compelling content is the initial draw for attendees, but it's the networking opportunities that leave a lasting impact. Allocate dedicated time for participants to network and explore ways to engage both introverts and extroverts. A well-balanced mix of informative content and interactive networking ensures a richer experience for all involved.

Reflecting on our recent experience hosting the International Biochar Initiative's 2023 Symposium, we witnessed firsthand the power of virtual events. Thought leaders in sustainability from diverse time zones and countries came together virtually to delve into the future of biochar and its positive impact on the planet. The success of this event underscored the accessibility and inclusivity that a well-executed virtual event can offer.

In the dynamic landscape of 2024, embracing the potential of virtual events is not just a trend; it's a strategic imperative. By understanding your community, considering time zones, and prioritizing engaging content and networking opportunities, you pave the way for an event that transcends borders and fosters global collaboration!
